General Duties:

• Books and tickets commercial flight reservations using negotiated airfares and best prices available.
• Books hotel reservations and car rentals using best prices with negotiated contracts.
• Issues Client train tickets.
• Secures corporate aircraft bookings in a timely manner.
• Monitors and enforces corporate aircraft policy.
• Provides accurate quotes and arranges chartered aircraft.
• Develops cost comparisons for corporate aircraft, charter aircraft, and commercial aircraft.
• Builds and develops a thorough, highly detailed itinerary for clients.
• Responds to clients' requests in a respectful manner. Communicates information clearly and effectively.
• Makes accurate changes quickly and efficiently.
• Develops creative solutions to corporate aircraft scheduling issues.
• Arranges limousine transportation.
• Researches and books specialized modes of transportation for large events and celebrations.
• Researches, develops options, and books villa and yacht rentals around the world.
• Serves as a "mediator” among clients when travel issues arise.
• Coordinates company drivers for clients.
• Provides various concierge type services such as booking dinner & spa reservations, ordering flowers and candy, booking fishing charters, and securing hard-to-find tickets for theater and sporting events.
• Assists with business travel planning when clients request help.
• Works on major event planning for clients and their guests on a global scale.
• Handles new passports and passport renewal requests for all clients.
• Secures visas for all clients in a timely fashion.

Specific Duties:

• Provides thorough management of clients' travel needs and oversees work of additional travel agent.
• Updates and distributes master travel schedule on a weekly basis.
• Reconciles monthly credit card statements for clients to ensure accuracy.
• Reviews car rental billings on a monthly basis.
• Maintains and updates master passport database in Excel.
• Plans and organizes large Shareholder meetings for clients.
• Manages and maintains various calendars for multiple vacation homes.
• Prepares detailed travel budgets for clients.
• Reviews and updates quarterly plane use reports.
• Composes and finalizes thorough Archive list annually.
• Assists and trains fellow co-worker on various computer programs.

OTHER DUTIES AND RESPONSIBILITIES: (Back-Up and Non-Essential Duties):

• Orders catered food for placement on corporate and chartered aircraft.
• Researches luggage delivery services and arranges for the pick-up and delivery of clients' luggage domestically and internationally.
• Prepares and sends parental & medical consent forms to clients when traveling internationally.
• Facilitates the transport and delivery of food and products on corporate aircraft.
• Completes forms for importing food & alcohol to Exuma with the client. Ensures that proper documentation has been completed.
• Involved in making travel arrangements for clients' pets. Ensures that the necessary documentation and paperwork is completed so the animals make the trip safely.
• Arranges tailgate parties at sporting events.
• Manages the frequent flyer accounts and appropriate use of miles to provide upgrades or frequent flyer tickets for clients.
• Renews memberships in airline clubs at airports for clients.
• Provides inoculation information to clients for international travel.
• Provides threat assessments to clients when traveling internationally.
• Sets up lines of credit at casinos.
• Purchases hunting and fishing licenses for clients.
• Tracks down missing items for clients when items have been left on commercial flights, corporate flights, and chartered flights. Arranges for the delivery of the items after they have been found.
• Arranges private guided tours at various client venues for clients' guests.
• Recommends new restaurants in numerous cities when clients are traveling.
• Coordinates the delivery of clients' vehicles to their homes or the airport.
• Books ski lessons and private ski instructors.
• Submits commission checks to appropriate department at client for deposit.
• Logs information into Waivor/Favor Log for client.
• Participates in committee work and meetings with fellow co-workers
QUALIFICATIONS: (Knowledge, Skills, Abilities and Personal Characteristics)

• High school diploma or equivalent.
• Travel school diploma or equivalent is preferred, but not required.
• Five years of previous travel industry experience is required.
• College degree
